Back up your previous email data

Whether you want to have continued access to emails sent to and from your previous email address, it’s a good idea to back up your data.

  1. To download specific emails, you will have to specify them using labels.
  2. Go to Google Takeout—a page dedicated to exporting all your account-related data
  3. Find “Mail”
  4. If you have specific labels you wish to export, hit “All mail data included” then untick the first checkbox to enable selection of labels to export.
  5. If you wish to export all your email data, select “MBOX format”. Think of .mbox as a big .zip archive for emails.
  6. Hit OK.

Once you’ve exported your previous email data, you’re good for the next steps.

How to change your email address in Gmail

Follow the steps I’ve listed below to change your email address in Gmail.

Step 1: Create your new Gmail account

In order to change your Gmail email address, you need to create a new one. To do this, you need to follow the same process as you’ve done before.

You can create a new Gmail account by following these steps:

  1. Sign up for a Google Account.
  2. Key in your account details, including your desired new email address.
  3. Specify your phone number, recovery email address, birthday, and gender.
  4. Agree to Google’s ToS and Privacy Policy.
  5. Click Create Account.

Step 2: Set up email forwarding

Now that you have created a Gmail account, you can start using it as your new one. However, you might want to continue receiving emails from your previous account.

This is crucial because your contacts will most likely contact you using your old email address.

To solve this, you can set up an email forwarding automation from your old Gmail to your new Gmail. Simply put, you’ll be able to access all emails sent to your old Gmail address to your new one.

Here’s how:

  1. In Gmail, go to your Settings.
  2. Click the Forwarding and POP/IMAP tab.
  3. In the Forwarding section, click on Add a forwarding address.
  4. Enter your old email address, then hit Next > Proceed > OK.
  5. Hit Save Changes.
  6. Find Google’s email with the verification link. Click to verify the forwarding request.

In your old account, you’d want to:

  1. In Gmail, go to your Settings.
  2. Click the Forwarding and POP/IMAP tab.
  3. In the Forwarding section, select Forward a copy of incoming mail to.
  4. Hit Save Changes.

Step 3: Change your “send mail as” settings

You’d also want the option to send emails using your old account. To do so, you’ll need to tinker a bit with the settings. Simply follow the steps below:

  1. In Gmail, go to your Settings.
  2. Click the Accounts and Import tab.
  3. In the Send email as section, click Add another email address.
  4. Follow the instructions on the pop-up window to enable the option to send using your old email.
  5. Find Google’s email with the verification link. Click to verify your request.
